FYS Holds and Alerts

How FYS holds and alerts are added and removed

Alerts

At 3am every day, X336 in Colleague evaluates all students registered in the current semester to determine if they should have the FYSW alert added.

Criteria:

  • First time degree seeking student.
  • Not enrolled in an FYS section or has not already passed an FYS section.

Action taken:

The FYSW alert is placed on the student record. The student will receive an alert when they log in to the Bruin Portal, but registration is not affected.

Holds

Every semester the person in charge of FYS holds uses X339 to evaluate students with the FYSW alert and determines who should have a subsequent FYS hold.

Criteria:

  • X339 prompts for a term and the FYSW type is entered.
  • Report lists students with the FYSW alert, their credit load, phone number, and program code.

Actions taken:

  • This process was designed for the FYS person to call each student and remind them to sign up for FYS before the hold was put on.
  • The person then submits a work order to IRT with the final list of students to place the FYS hold on.
  • IRT personnel add the hold to the students specified by that work order.
  • Students will no longer be able to register for classes while the hold is active.


Removal of Alerts and Holds

Via Automation:

Every 30 minutes, XI29 in Colleague evaluates students that have the FYSW alert and FYS hold to see if they have enrolled in an FYS class.  Once the student enrolls, within 30 minutes the FYSW alert and FYS hold are ended systematically.

Manually:

All academic advisors and the FYS coordinator can end the the FYS hold by putting an end date on the hold.
